Information Collected During Notary Services

To perform a notarial act, a commissioned Pennsylvania notary may inspect an acceptable identification credential and collect information required to complete the notarial certificate and notary journal entry.

Depending on the circumstances, this information may include:

  • Name of the signer

  • Date and time of the notarial act

  • Type of notarial act performed

  • General description of the record

  • Notarial fee charged

  • Method used to identify the signer

  • Signature or other information permitted or required by Pennsylvania law

We do not routinely photocopy or retain complete identification credentials for general notary appointments.

Our notary journal will not intentionally include complete Social Security numbers, complete driver’s-license numbers, complete government-identification numbers, biometric information, or other information that Pennsylvania law prohibits from being recorded in a notary journal.

Certain loan-signing, title, real estate, or contracted assignments may require additional identification verification or a copy of an identification credential. When this occurs, the information may be collected or transmitted at the direction of the lender, title company, signing service, or other authorized hiring party.

Documents Presented for Service

We may temporarily receive, view, print, transport, deliver, scan, or transmit documents as necessary to provide a requested service.

For general notary appointments, we do not routinely retain copies of the documents presented for notarization.

Documents may be temporarily retained or transmitted when:

  • Printing or document delivery is requested

  • A loan-signing or real estate assignment requires it

  • A lender, title company, signing service, or other hiring party instructs us to do so

  • The customer authorizes it

  • Retention is reasonably necessary to complete the requested service

  • Retention or disclosure is required by law

Temporary paper documents that are no longer required will be returned, securely destroyed, or otherwise handled according to the requirements of the assignment.
